Settings #
Settings combine operational account tools: private cloud storage with Google Drive, iNaturalist and selected administrative actions.
iNaturalist #
iNaturalist features are optional and disabled by default. To use them, open Settings, select Enable iNaturalist features, and save the account settings. The connection tab, publishing, iNat mapping and iNaturalist elements on record pages appear only after this option is enabled.
Specimens / Data Matrix #
Specimen numbering and Data Matrix features are hidden by default. To use them, open Settings, select Show Specimens / Data Matrix features, and save the account settings.
Enabling this option shows specimen numbering in record forms, numbers and the module link on record pages, and the Data Matrix identifier label in the label generator. Disabling it only hides these elements; it does not delete existing specimens, numbers, or codes.
Private cloud: Google Drive #
The private cloud section shows connections used for media, exports and data copies outside the main ENTOMONE server. Without a connection, the account uses Free. After Google Drive is connected successfully, it uses Standard. Both variants are free.
Google Drive lets the user connect a Google account. Disconnecting Google Drive does not delete Drive files; it only stops API access from ENTOMONE.
After connecting, use Sync local photos to upload all of your locally stored photos to Google Drive. See Google Drive and photos for the steps and limits.
JPG/JPEG photo saving #
In Free, photos stored by ENTOMONE are resized to fit approximately 1600 x 1200 px or 1200 x 1600 px and saved as JPEG quality 78. Aspect ratio is preserved and smaller photos are not enlarged.
In Standard, you can choose a longest side of 1600, 1800, or 2400 px and JPEG quality 72, 78, or 85 for new files sent to the private Drive.
Original from phone applies to Standard and stores new JPG/JPEG files in the private Drive without resizing, recompression, or EXIF changes. The gallery thumbnail is created separately. This setting never changes photos already saved.
Profile visibility #
The Profile visibility setting controls who, after signing in to ENTOMONE, can see your display name and description / bio. It does not create a public Internet profile.
- All ENTOMONE users - every signed-in user can view the profile.
- Collaborators only - only people who share at least one active Database with you can view it.
- Only me - only the account owner and an administrator can view it.
Profile visibility does not change Database membership, roles or permissions. In particular, Only me does not block Database invitations, work on shared records or data access granted by a Database role.
Default visibility of new records #
On the Account tab, Default visibility of new records controls the status assigned to new records. Visible allows people authorised for the Database to see the record. Hidden restricts it to the owner and blocks iNaturalist publishing.
The Field Notebook applies this setting automatically and does not show a separate selector. Full record forms still allow the status to be changed before saving. Changing the preference does not modify existing records.
Account deletion and the 30-day Trash period #
An account deletion request does not erase data immediately. For 30 days, the account, its private SQLite database, central permissions and projections, and media owned exclusively by the user remain in a controlled Trash state. Sign-in is disabled and the private database is removed from normal runtime routing during this period.
An administrator can cancel the request before the deadline. Recovery reactivates the account and routing to the same private database; it does not create an empty replacement database.
After 30 days, a separate idempotent process may permanently remove the account, private SQLite file, central ACL and projections, exclusive local and Google Drive files, and recognized database backups and the SQLite Database Report on Google Drive. Genuinely shared data is preserved while other authorized users still rely on it. Whole-host disaster backups that cannot safely be rewritten for one person expire under the operator's limited retention and are not returned to normal runtime.
The permanent process is not an ordinary page action. It requires the deployed schema, an explicit resource scope, identity checks for every destructive target, and execution by an authorized operator.

Important rule #
When this topic affects records, media, Google Drive or iNaturalist, treat local ENTOMONE data as the source of your working database. External services are connected workflows, not replacements for the private database.
