Alerts #

An Alert is a private note with a reminder date. It is not an observation record and does not belong to a Database. Only its owner can see it - even an administrator is not granted access to another user's Alerts.

Open the module #

Creating an Alert #

Enter a short title and a reminder date. Note is optional and may be left empty when the title contains all necessary information. The entry date is always set automatically to the creation day and cannot be changed in the form. A reminder becomes due at the fixed technical time of 12:00. You can also add media, a locality description and a point on the map. After a photo is selected, the form shows its filename, upload state and thumbnail; saved photos reappear when the Alert is edited and on the Alert list. Remove from Alert detaches the selected photo after the form is saved, but does not delete it from the Media Library. Use the map search button to find a place by name or select a point by clicking; Read from map enters the recognised name in the Locality field. Map layers and a bottom-right resize handle are available.

New Alert on the Alerts page always creates a general Alert. Add Alert buttons on record, species, site and breeding pages open a form that is automatically and permanently linked to that page. The type, object name and entry date appear below the heading; there is no link selector or object-number field. The Delete button is available while editing an Alert and requires confirmation. Deleting an Alert does not delete the linked object, its data or its media.

One-time and recurring Alerts #

An Alert can occur once or repeat daily, weekly, monthly or yearly. A cycle can continue indefinitely, for a chosen number of occurrences, or through an inclusive end date. Monthly and yearly cycles can use a fixed calendar date or a weekday pattern, such as the second Thursday or the last Monday.

Reminders #

No recurrence precedes the reminder date. The occurrence limit counts only dates on or after it, and the end date cannot be earlier. If the chosen weekday in the first month has already passed, the first occurrence is the next matching date in the cycle.

If refreshing or saving a reminder fails, the application displays an error instead of confirming completion. Refresh the page and check the Alert's state before retrying the operation.

While ENTOMONE is open, the application checks for due Alerts every minute. An active one-time Alert dated before today is then automatically marked as done; an Alert dated today remains active. A recurring Alert is automatically completed only after its last occurrence, while a cycle with no end date remains active. Closing the message hides it only on the current page and does not change its status. This version does not notify while the application is closed and does not send email.

Done #

Done finishes the entire Alert, including every future date in its cycle, and can be used before the reminder date. Turning off Active Alert in the editor and saving has the same effect. Merely displaying or closing a reminder does not change its state. A finished Alert remains available in the list and calendar until it is deleted.

Use Reactivate to open a completed Alert, turn on the switch and choose a new reminder date later than today. Today, a historical date or the previous date cannot reactivate the Alert.

Calendar #

The calendar provides month, week and day views. Alerts are presented as all-day items because their schedule is date-based. The arrows move to the previous or next month, week or day, while Today returns to the current date. Select a day number or the add action to create an Alert for that date, or select an Alert title to edit it.
